How to Use Voice Memos on a Mac (2026): Record, Trim, Sync, and Export

The Voice Memos app is built into every modern Mac, so you can capture a lecture, a song idea, an interview, or a quick reminder without buying anything. This guide covers recording, trimming out mistakes, syncing across your iPhone and iPad, and exporting a clean file you can send anywhere.

Where to find Voice Memos and how to record

Open Launchpad or press Command + Space and type Voice Memos. Once it opens:

  1. Click the red Record button in the bottom-left corner. Recording starts instantly.
  2. Click Pause to hold, then Resume to continue the same recording.
  3. Click Done to save. The memo appears in the list on the left, named after your location (you can rename it by clicking the title).

Your Mac uses its built-in microphone by default. For better quality, plug in a USB mic or AirPods and select them in System Settings > Sound > Input before you record.

Trim and clean up a recording (no editing app needed)

You do not need GarageBand or any paid tool to fix a recording. Select the memo, then click the Edit button (the three sliders, top-right), and:

  • Trim the ends: click the crop icon, drag the yellow handles to keep only the part you want, then click Trim to keep the selection (or Delete to cut it out) and Save.
  • Replace a section: move the playhead to where you want to re-record, click Replace, and speak the correction over the old audio.
  • Enhance the sound: click the magic-wand Enhance Recording toggle at the top to reduce background noise and room echo automatically.

Sync Voice Memos across your iPhone, iPad, and Mac

Recordings sync automatically over iCloud when every device is signed in to the same Apple Account. Turn it on in System Settings > [your name] > iCloud > See All > Voice Memos and switch it on. A memo you record on your iPhone will appear on your Mac within seconds, and any trim you make syncs back.

If a recording is not showing up, confirm all devices use the same Apple Account and are connected to Wi-Fi, then wait a minute for iCloud to catch up.

Export or share a recording

Voice Memos saves audio as M4A files, which play on virtually anything. To get a file out:

  • Drag it out: drag the memo from the list straight onto your Desktop or into a Finder folder to create an .m4a copy.
  • Share it: select the memo, click the Share button, and send it by Mail, Messages, AirDrop, or save to Files.
  • Need MP3? Drag the M4A into the free Music app, then use File > Convert, or open it in QuickTime and export.

Frequently asked questions

Is Voice Memos free on a Mac?

Yes. Voice Memos ships free with macOS on every Mac from 2018 onward. There is nothing to buy or download.

How long can a Voice Memo be?

There is no fixed time limit. The only real limit is your available storage, and audio files are small (roughly 1 MB per minute), so hours-long recordings are no problem on any Mac.

Where are Voice Memos stored on a Mac?

They live inside the app and sync through iCloud. To get a standalone file, drag the memo to your Desktop or use the Share button, as shown above.

Why is my Voice Memo not syncing to my Mac?

All devices must be signed in to the same Apple Account with Voice Memos enabled in iCloud settings, and connected to the internet. Toggle iCloud sync off and back on if it stalls.

Which Mac is best for recording audio?

Any Apple silicon Mac is excellent for this because it is completely silent and fanless, so no fan whir leaks into your recording. A refurbished MacBook Air M1 from $569.99 is more than enough for Voice Memos, podcasts, and interviews. Browse current deals on our Apple clearance page.
