Notes or Reminders Not Syncing on a Mac? Fixes in Order (2026)

You add a note or a reminder on your iPhone, open your Mac, and it's not there — or the other way around. Nine times out of ten it's the same handful of causes, and you can fix it in a couple of minutes. Work through these in order and stop as soon as syncing comes back.

The 30-second fixes (try these first)

  • Check you're online. Notes and Reminders sync through iCloud, so a dropped Wi-Fi connection stalls both. Load any web page to confirm you're actually connected.
  • Confirm the same Apple Account on both devices. On the Mac: System Settings → [your name] at the top. On the iPhone: Settings → [your name]. If the email addresses don't match, that's your whole problem — the two devices are syncing to different accounts.
  • Force a refresh. In the Notes or Reminders app, click into the sidebar and press Cmd‑R, or just quit the app (Cmd‑Q) and reopen it. A stuck app often catches up the moment it relaunches.
  • Give it a minute. iCloud sync isn't always instant. Make a small test edit, wait 60 seconds, then check the other device before digging deeper.

Step 1: Make sure Notes and Reminders are turned on for iCloud

This is the single most common cause. Each app has its own iCloud switch, and if it's off, that app simply won't sync — even though everything else (Photos, Mail) works fine.

On your Mac: System Settings → [your name] → iCloud → See All (or Show More Apps). Confirm both Notes and Reminders are switched on.

On your iPhone: Settings → [your name] → iCloud → See All, and check the same two switches. Both devices have to be on for a note or reminder to travel between them.

Step 2: Check where the note or reminder actually lives

Notes and Reminders can each store items in accounts that don't sync. In Notes, look at the sidebar: an "On My Mac" section holds notes stored only on that Mac — they never reach your iPhone. Drag them into the iCloud section to sync them.

Reminders behaves the same way. If you have a Google, Yahoo, or Exchange account attached, a new list may have been created there instead of in iCloud. In the Reminders sidebar, make sure the list lives under your iCloud heading, not another account. You can't move a list between accounts directly, so recreate it under iCloud and drag the items over.

Step 3: Turn off "Optimize Mac Storage" temporarily (Reminders/Notes attachments)

If notes with photos or scanned documents sync as blank or "waiting to download," it's usually a storage-offload holdup. Confirm your iCloud storage isn't full (System Settings → [your name] → iCloud → Manage). A full iCloud account silently stops new items from uploading — the most common reason a device that "was working" suddenly stops.

Step 4: Restart, then sign out of iCloud and back in

A plain restart clears more sync gremlins than people expect — do that first. If it's still stuck, sign iCloud out and in on the Mac: System Settings → [your name] → scroll down → Sign Out. When prompted, choose to keep a copy of your Notes and Reminders on the Mac so nothing is lost. Sign back in and give it a few minutes to reconcile.

Sign out of one device at a time. Signing out everywhere at once just means you're waiting on a full re-download.

Step 5: Check Apple's system status

Occasionally it isn't you. Open Apple's System Status page and look for iCloud Notes and Reminders. If either shows an outage, there's nothing to fix on your end — wait it out and it'll catch up on its own.

When it's not the app — it's the Mac

If Notes and Reminders won't sync and other iCloud features are misbehaving — Calendar drifting, Photos stalling, Messages missing — the problem is your Mac's iCloud connection as a whole, not one app. Our Calendar not syncing guide and iCloud Photos not syncing guide walk through the account-level rebuild that fixes all of them at once.

And if the machine itself is slow, freezing, or fighting a dying battery on top of the sync trouble, it may be time to weigh a repair against an upgrade. A reliable Apple clearance MacBook running the current macOS syncs cleanly out of the box — sometimes the fix is a machine that isn't a decade old.

Frequently asked questions

Why won't my Notes sync between my Mac and iPhone?

Almost always one of three things: Notes is turned off for iCloud on one device, the note lives in an "On My Mac" (non-iCloud) folder, or the two devices are signed into different Apple Accounts. Check those three in that order.

How do I force Notes or Reminders to sync now?

Open the app, click into the sidebar, and press Cmd‑R, or quit the app with Cmd‑Q and reopen it. Confirming you're online and signed into the right Apple Account fixes the rest.

I moved a note out of "On My Mac" but it still won't sync. What now?

Restart the Mac, then confirm Notes is switched on under System Settings → [your name] → iCloud. If it still won't budge, sign out of iCloud (keeping a local copy) and back in.

Will turning iCloud Notes or Reminders off delete my data?

Turning it off on one device removes that app's iCloud items from that device, but your data stays safe in iCloud and on your other devices. When you turn it back on, everything downloads again. macOS also offers to keep a local copy when you switch it off.
